What we collect
When you reach out to us — for example, by requesting a demo — we collect your business name, contact name, email, phone number, and any details you share with us. When RunCore Scheduling is deployed for a client, we also process caller names, phone numbers, appointment details, and call content on that client's behalf.
Google Calendar access
If you connect a Google Calendar to RunCore Scheduling, we request access to view and manage events on that calendar (via Google's Calendar API) so that RunCore Scheduling can check your availability and book appointments on your behalf. We only access what's needed to perform these scheduling functions — we do not read, use, or share any other data associated with your Google account.
Access is granted through Google's own sign-in and consent screen, and you can revoke it at any time from your Google Account permissions page. Revoking access will stop RunCore Scheduling from being able to check availability or book appointments until reconnected.
RunCore AI's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not use it to train generalized or third-party AI models — it is used solely to provide the scheduling functionality you've connected it for.
How we use it
We use the information you share with us to respond to demo requests, operate your account, and communicate with you about our service. Call data and calendar data collected on behalf of a client is used only to deliver that client's service — it is never used to train third-party AI models, and it is never sold or shared with unrelated third parties.
Data protection & security
We protect call data, calendar access tokens, and other information described above using the following safeguards:
- Encryption: All data is encrypted in transit using TLS, and encrypted at rest within our database and storage providers.
- Access controls: Access to client data is restricted to authorized RunCore AI personnel on a need-to-know basis, and to the infrastructure providers listed below, strictly as needed to deliver the service.
- Subprocessors: We rely on Google Calendar API (appointment scheduling), a secure managed database provider, and our AI and communications infrastructure provider (and the speech-to-text, language-model, and text-to-speech services it connects to) to operate RunCore Scheduling. None of these providers use your data to train their models.
- Data retention: Call transcripts, recordings, and calendar access tokens are retained only while your account is active. Upon account cancellation, this data is deleted within 30 days, except where a brief additional period is required for legal or dispute-resolution purposes.
- Breach notification: If we become aware of a security incident affecting your data, we will notify you without undue delay, consistent with applicable law.
- Your control: You may request a copy of, correction to, or deletion of your data at any time (see Your rights below).
Data retention
Call transcripts, recordings, and calendar access tokens are retained while your account is active. Upon cancellation, this data is deleted within 30 days, except where a brief additional period is required for legal or dispute-resolution purposes — or earlier, if you request deletion sooner. Information submitted with a demo request is retained only as long as needed to follow up with you.
Your rights
You can request access to, correction of, or deletion of your information — including disconnecting Google Calendar access — by emailing hello@runcoreai.online. If the data in question was collected on behalf of one of our clients — for example, call data from a business using RunCore Scheduling — your request will be directed to that client, who will coordinate with us on it.
